What an AI CRM for estate agencies is, and what it is not

What an AI CRM is for an estate agency: what it knows about each client, what it prepares, and what it should never do on its own.

What is a real estate CRM?

A real estate CRM is where an agency keeps every buyer, owner and listing, with everything that was said and agreed. In most agencies it holds what someone found time to type in, so the rest of a client's story lives in an inbox, a WhatsApp chat and one agent's memory. An AI real estate CRM is filled by what happens instead: the website, the portals, email and WhatsApp write to the client's record as it happens.

What changes when the CRM has AI?

The system reads what reaches the agency instead of waiting for someone to type it in. A portal enquiry, an email from an owner or a message after a viewing lands on the right record, and the system prepares the next step: the reply, the follow-up, the buyers who fit a new listing. A promise made in February is still there in June, and so is the reason to call.

What does AI do well at an agency, and what should it not do alone?

AI does the preparing well, and the sending should stay with the agency. Putting a good reply together takes time: the listing, the client's history, two times that fit the diary, and all of it can be ready before anyone opens the inbox. Speed still counts: in a Harvard Business Review study of 1.25 million leads at 42 US companies, those that answered within the hour were nearly seven times as likely to qualify the lead as those that waited even an hour longer. What should not happen alone is the reply going out. A person at the agency reads it and decides what is sent in the agency's name, so the buyer who later meets the agent recognises the voice from the first email.

What does the system need to know for the AI to be of any use?

It needs to know your agency. A model that has never seen your clients writes a polite reply that could come from any agency. One that reads the record knows that this couple viewed a finca with you last spring, said the kitchen was too small and asked to hear first about anything near Santanyí. That knowledge only exists when every channel writes to the same record, which is why the website, the portals and email belong inside the CRM and not beside it.

How does it show at an agency on Mallorca, in Barcelona or on the Costa del Sol?

It shows in the same three places on every coast. Each morning the system says who to call and why, when a listing comes in it finds the buyers who fit it, and every enquiry gets a reply ready to check and send. That holds for an agency in Palma, in Sitges or in Marbella alike, because the system is built on the agency's own clients, listings and portals and tailored to how it sells.

What should you ask in the demo of an AI CRM?

Ask what the system knows about your clients without anyone typing it in. Then ask where your website, portal enquiries, email and WhatsApp end up, whether it sends anything on its own or prepares it for you to send, where your data is kept and whether it is used to train anything, and how your contacts, listings and their history come over from the system you use today. Our help center answers each of those questions for Solutra.
