Switching
Moving from your old CRM without losing a listing
What comes with you, what does not, and how to switch systems without stopping the agency.

Why agencies put it off
Most agencies have thought about switching, and most put it off for the same reason: the fear that a listing, a contact or a sale will be lost on the way, in the middle of the season.
What an export carries
Contacts with their emails, phone numbers, language and country. Listings with their texts in each language, price, areas and rooms. Often the owner of each property. Fields without a place of their own can be kept on the record instead of being dropped.
What it does not
Photos usually come from the website or the portal listings, not from the export. Search criteria and budgets are often free text and are best rebuilt with the agents. Mandate dates and fees are entered together. History and tasks need the most care: every email, note and task has to land on the right client's record.
Drafts first, then the switch
Import everything as drafts, check it side by side with the old system, and only then move the website and the portals over, on a day you choose. Nothing should be published or sent before you have said yes.
Duplicates and gaps
An export from a system used for years holds duplicates, and contacts with no email or phone. They should be shown to you to decide on, not imported twice or quietly dropped.
