How Casal Mallorquí brought two years of client conversations into one system

Casal Mallorquí has sold and built homes around Manacor since 2011. They went live twelve days after signing, and since then their website, listings, buyers, sellers, email and WhatsApp run in one system. This is what the move gave them, counted in their own CRM.

In their words

“Following our positive experience with the CRM system for our real estate business, we would like to discuss the possibility of implementing a CRM for our service project management as well.”

After the move

What the move gave Casal

16,957

emails and WhatsApp messages on the client records, every one with the person who wrote it. Most of the WhatsApp history was in place within an hour of connecting the phones.

10

buyers and sellers who had asked to hear back later are back on the team's list as a follow-up. The oldest promise was from November 2025.

667 of 704

old contacts the team removed had never sent the agency a single message.

Before · the old CRM

1,102 contacts, and 9 buyers the old CRM could match

When Casal moved, we brought their contacts, listings and history over from onOffice. 366 of the contacts were marked as buyers, but only 9 of them had a search saved in the fields the CRM matches new listings against. Another 438 had no type at all, so a buyer, a seller and a supplier looked the same until someone opened the card.

contacts in the old CRM's export.

9 of 366

buyers had a search saved in the fields the old CRM matches new listings against.

438

contacts had no type at all: not marked as buyer, seller, owner or partner.

Two years of conversations

Two years of email and every WhatsApp since April, on the client's record

The old CRM held names and numbers. The conversations were in Outlook and on the team's phones. After the move, the email history came in, 2,434 emails back to 2024 on the first day alone, and in mid-October the team connected their phones: within the hour, most of their WhatsApp back to April was on the client records. Each message landed with the person it belongs to, so the team opens one record and sees what has been said.

16,957

emails and WhatsApp messages, every one on the record of the person who wrote it. The oldest email is from 30 September 2024.

10,791

WhatsApp messages on the client records within an hour of the team connecting their phones. One phone took under four minutes.

2,434

emails going back to September 2024, on the client records within a single day.

A register the team trusts

704 old contacts out, 223 the team works with

With the conversations next to every name, it was easy to see who was still in touch. Of the 1,102 rows in the old CRM's export, 893 came over as contacts. Between 8 and 16 October the team went through the register and removed 704 contacts, 694 of them from the old CRM. With the clients who have come in since, 223 remain.

667 of the 704 had never sent the agency a single message. What is left is a register where every buyer and seller is someone the team can call.

On the client record

327 details from the clients' own words

From the clients' emails and WhatsApp messages and the team's own notes, 327 details are now on 47 client records, each with the sentence it came from. When a client calls, the agent sees what they have said before picking up.

98

Timelines

When the client plans to buy, sell or come back.

80

Wishes

What they want in a home: the view, the plot, the town.

32

Budgets

What they said they can spend, in their own words.

21

Objections

Why a home or a price did not work for them.

18

Who decides

The partner, the family or the advisor behind the yes.

38 times a client said when to get back to them, in English, Spanish, German and Dutch. 10 buyers and sellers among them have already come back to the team as a follow-up, with their own words next to it. The oldest promise was from November 2025, found in the old emails.

Buyers and listings

The first match came on 6 October

In the first weeks the team added 23 buyer searches, most of them on 9 and 10 October. Each search is checked against every listing that comes in. The team has sent 3 of the matches to buyers and turned down 14, each with its reason on record.

34

clients with a search the system matches, against 9 buyers in the old CRM. The team added 23 of them.

23

matches since 6 October, for 6 buyers on 17 listings.

83

listings found at other agencies in 7 searches for Casal's buyers.

Homes at other agencies, too. On 30 September Martijn asked where he could search the internet for homes for his clients. He ran the first market search on 5 October. Seven searches have found 83 listings at other agencies, and one has already gone to a buyer.

Since the move

14 deals, 8 viewings and 23 new clients

Every enquiry from the website and the portals arrives as a client with the first message on their record, and every deal and viewing sits on the same record as the conversation that led to it.

14

deals opened, 9 with buyers and 5 with sellers.

8

viewings booked, 4 of them already held.

23

new clients, 14 of them through the website and the portals.

The website · casalmallorqui.com

Their own website, from the same records

The new casalmallorqui.com went live on their own domain on 28 September, with 522 addresses in the sitemap, and the listings on the site are the listings in the CRM.

On 19 October a guide to building a house on rural land in Mallorca went live, made from Martijn's own article, with a plot check form whose answers land on the client's record.

“Wuah, amazing! It looks very good.”

Martijn van der Kam, on the guide

Along the way

In Martijn's own emails

  • “Thank you for the presentation and your proposal. The whole team was really impressed, and we would like to start working with you.”

    After the first presentation
  • “Great job Marcus, really impressed of the effort and work you put in!”

What comes next

More buyers with a search, and the building side in the same system

50 of the 76 buyers on the register still have no saved search. Every one the team adds is checked against each new listing from that day on. And Casal has asked to talk about the same system for its build and renovation projects.

Counted on 27 October 2026 in Casal Mallorquí's own CRM, on the contacts the agency keeps unless the text says otherwise. The old CRM's numbers come from its export before the move. A buyer there is a contact marked as a buyer, and a saved search is one with at least one of the CRM's own search criteria filled in. The quotes are from Martijn van der Kam's emails to Solutra.
